Funding for the speakers

 
The International Union Against Tuberculosis and Lung Disease (The Union) does not have funds to cover the participation of all those involved in the scientific programme of the conference. Consequently, you are requested either to determine that your speakers can fund their participation themselves or to assist them in finding donors to sponsor them. In either case, please keep the Conference Secretariat informed. 
 

Choosing speakers

 
It is your responsibility to ensure that you select speakers who are experts on the topics they will discuss, that they are able to express themselves well in English and that the material to be presented will be of high quality. Please keep in mind that speakers should represent diverse settings, including low-income ones.
 

Letter template

 
The Conference Secretariat will provide you with templates of the letters that are sent to the chairs and speakers of your session to facilitate your work as coordinator. 
 

Speaker invitation letter

 
In March 2011, the Conference Secretariat will send invitation letters to the speakers you have proposed for your session. In the event that some of them decline, you will be contacted promptly to suggest replacement speakers. If necessary, the Scientific Programme Committee may recommend speakers as well.
 

Speaker abstract

 
In June 2011, the speakers who have consented to present in your session will be asked to submit abstracts of their presentations.  These abstracts will be included in the conference Abstract Book and will be sent to you, the chairs and the other speakers for information purposes before the conference opens. Coordinators can ask the speakers to send them the abstracts before they are submitted to The Union.
 

Registering for the conference

 
All participants are required to register for the conference, including chairs, speakers and coordinators. Pre-registration will open in March and closes on 5 October 2011; after this date, registrations will be processed onsite. Delegates may join The Union for as little as 20€ and benefit from a 100€ discount on the full rate registration fee.
 

Symposia listing in the final programme of the conference

 
The Final Programme for the conference will be printed in August 2011. It is your responsibility to send the Conference Secretariat updated information on your session (confirmed speakers and topics) before the deadline so that it is included in the Final Programme. You will need to inform delegates attending your symposium about any changes that  are not included in the Final Programme.
 

A/V Instructions

 
Instructions for audiovisual equipment, for the preview room and an EBAP Disclosure Form will be sent to you, to the speakers, and to the chairs one month before the conference opens. Please communicate with your speakers to ensure that they have followed the instructions received.
 

Webcasting

 
Please remember that your symposium will be webcast. Any speakers who do not want their presentations recorded must inform the Conference Secretariat prior to the conference.
